A
Document Register is a list of all the documents on a project.
Typically these are drawings, procedures, specifications forms ...
etc. It is important that a document register can clearly identify
the latest revision of a particular document. QDMS is a popular
system that does this function very well.
Document
register acts as a central repository for all the incoming
documents in the system. Documents are classified according to
projects and disciplines in the QDMS's document register
distribution matrix.
Some
of the benefits of document register are given below:
- Time required to file and retrieve documents is
greatly reduced due to central document register.
- Document register reduces storage space, as all the
documents are stored in the same place and not duplicated.
- Document register can also be used to take hardcopy of
the required documents.
- QDMS
allows controlled access to documents through document
register.
- Distribute documents from the document register –
Print or Email with a single click.
- Collaborate the documents from document register
across all the projects.
- Document register provides administrator with all the
information about the registered users and their activity on a
particular date and time.
- Document register automatically moves the superseded
files to the document history file.
- Documents can also be scanned and included in document
register. This is useful especially when working with
drawings.
A typical web based document register system is TeamBinder
and very good LAN based systems (non web-based) are QDMS
and QTRAK.
