A controlled document
is a reference document which, through the course of its lifecycle
may be reviewed, modified and distributed several times.
Examples of a controlled document include: technical drawings,
specifications, procedures, data-sheets, contracts, application
forms and plans.
With any engineering and construction project, there is normally a
vast array of controlled documents which require a central
management system for storage and distribution purposes. The
QDMS
system – is one such system used to manage controlled documents.
The
QDMS
system provides a central system where controlled documents are
stored and revised, reviewed and distributed ensuring no
inaccuracies occur during the entire life-cycle of the drawings.
When a controlled document is revised, it supersedes the previous version. QDMS then automatically provides a re-transmittal mechanism to send the new version to all previous recipients of the document. It is then important to destroy all previous hard copies or to stamp them "SUPERSEDED" thereby ensuring only the latest version of the controlled document is in circulation.
